Payroll services

Payroll services for small businesses, from £12 a month

Payslips go out, HMRC receives its submissions and pension duties are dealt with every pay run. Employee Payroll is £24 a month for your first 4 employees. Director's Payroll is £12 a month for your first 2 directors, as an add-on to PayNinja's accountancy packages.

What you get

Payslips for every employee

A payslip is produced for each employee every pay cycle. You must give payslips to staff on or before payday, so we work back from that date.

RTI filed with HMRC

We prepare and submit your Full Payment Submission on or before payday, as the rules require. Each pay run is reported to HMRC without you chasing it.

A reminder every pay cycle

At the end of each cycle you get a reminder email asking for the hours and pay details we need. Payroll does not slip down your to-do list.

A clear what-to-pay summary

Every run ends with a summary of what to pay each employee and what to pay HMRC. You never work out the figures yourself.

Workplace pensions covered

Pension duties are handled as part of payroll, including the auto-enrolment assessment. You are not left reading pension rules on your own.

Prices you can see

Employee Payroll is £24 a month and Director's Payroll is £12 a month. Extra employees and directors are quoted on WhatsApp.

FAQ

Questions about payroll services

All questions
How much does payroll cost with PayNinja?

Employee Payroll is £24 a month and covers your first 4 employees. Director's Payroll is £12 a month and covers your first 2 directors. Payroll is an add-on to PayNinja's accountancy packages, which are quoted individually, and extra employees or directors are quoted on WhatsApp.

What is RTI and do I have to send it every time I pay someone?

Real Time Information (RTI) means telling HMRC about pay and deductions in a Full Payment Submission (FPS) on or before your employees' payday. You send one every time you pay your staff, and we submit it for you every pay run. Source: https://www.gov.uk/running-payroll/reporting-to-hmrc

What is the difference between an FPS and an EPS?

An FPS reports each employee's pay and deductions and goes to HMRC on or before payday. An EPS is a separate report, sent by the 19th of the following tax month to claim reductions such as statutory pay, or sent instead of an FPS if you paid no employees in a tax month. We handle both as part of Employee Payroll. Source: https://www.gov.uk/running-payroll/reporting-to-hmrc-eps

What happens if payroll is reported late to HMRC?

HMRC can charge a monthly penalty, currently £100 for a scheme with 1 to 9 employees. There is no penalty if all payments on a late FPS are within 3 days of payday, or for your first late report in a tax year unless you are registered as an annual scheme. A new employer is also not penalised if the first FPS is sent within 30 days of paying an employee. Source: https://www.gov.uk/guidance/what-happens-if-you-dont-report-payroll-information-on-time

Do I have to put my staff into a workplace pension?

For 2026/27 you must automatically enrol workers aged 22 up to State Pension age who earn at least £10,000 a year and usually work in the UK. In most schemes, minimum total contributions are 8% of earnings between £6,240 and £50,270, with at least 3% from you as the employer. We handle the assessment as part of payroll. Can I delay putting a new employee into the pension?

You can usually delay the date you must enrol a worker by up to 3 months. You must tell the worker about the delay in writing and let them join in the meantime if they ask. Message us on WhatsApp if you want to use a delay and we will check it fits your staff. Source: https://www.gov.uk/workplace-pensions/joining-a-workplace-pension
